Construction Management Software in the UAE: A Buyer’s Guide for Contractors

Buying construction management software in the UAE is not the same as buying it anywhere else. A main contractor in Dubai, a fit-out firm in Abu Dhabi and an MEP subcontractor in Sharjah all run sites that lean heavily on subcontractors, move money through formal banking channels, and must produce VAT-compliant paperwork. Many products on the market were built for the office team, not for the site. This guide explains why software choices fail, gives you a 12-question checklist to test any vendor, tells you honestly how one option, Trackovo, answers those questions, and ends with a simple two-week trial plan.

Why site software choices fail in the UAE

Most software is bought by someone sitting in an office in Business Bay or Al Quoz. They see dashboards and Gantt charts, sign the contract, and roll it out. Three months later the site team has stopped using it. Here is why that keeps happening.

First, the software is built for the main contractor’s office, not for the subcontractor-heavy site. On a typical UAE project, the steel fixer, the plaster crew and the MEP crew all work for different subcontractors. If each subcontractor has to pay for a login, or needs training the vendor cannot give in a simple way, they simply stay on WhatsApp and paper.

Second, WhatsApp plus Excel looks free. The site engineer sends material photos on WhatsApp. Attendance comes as a photo of a register. Measurement sheets travel as Excel files. It works, until the project manager asks for last Tuesday’s snag photos, or finance asks for a VAT invoice with the supplier’s TRN, and nobody can find things quickly.

Third, money features get checked last. UAE VAT is 5 percent and has applied since 1 January 2018. A VAT invoice needs the supplier’s TRN. If your app cannot hold a TRN against a party and put a proper 5 percent tax row on an invoice, you end up doing invoices outside the app anyway, and then the app is only half a system.

The 12 questions to ask any vendor

Subcontractors

  1. Can I raise a work order to a subcontractor in the app? A good answer: yes, with scope, rate and dates, and the subcontractor can see it without paying for a login. A bad answer: “subcontractors are a paid seat” or “manage that outside the app”.
  2. How do I record measurement against a work order? A good answer: a measurement book inside the app, linked to the work order, so the running bill is calculated from actual measurement. A bad answer: measurement stays in Excel and you re-type numbers.
  3. Can I prepare running bills and RA bills? A good answer: the app pulls measurement, deducts advances and previous payments, and gives a bill you can print or send. A bad answer: bills are a manual job every month.
  4. How are advances to subcontractors handled? A good answer: advances are recorded against the party and recovered in settlement. A bad answer: advances live in a separate sheet, which is how disputes start.

Site proof

  1. Does attendance capture photo and site location? A good answer: yes, and the record shows where the person was when marking hajiri. A bad answer: a checkbox anyone can tick from anywhere.
  2. Can I record material receipts (GRN) with photo proof? A good answer: yes, so the challan or delivery note and the actual quantity received both stay on record. A bad answer: the gate pass is filed on paper.
  3. Are daily progress photos and daily reports built in? A good answer: the site engineer uploads photos with the day’s note, and a daily progress report is generated from it. A bad answer: photos sit in a WhatsApp group that gets archived.
  4. Can I log snags and close them with a photo? A good answer: yes, with status, assignee and date. A bad answer: snags travel as a WhatsApp list and nothing closes properly.

Money

  1. Can invoices show a VAT row and can party records hold a TRN? A good answer: configurable tax rows so a 5 percent VAT row works, and a TRN field on the party record. A bad answer: fixed Indian tax logic or no tax field at all.
  2. Can I track expenses per site, including petty cash? A good answer: site kharcha, petty cash and supplier payments are all logged site-wise and flow into reports. A bad answer: one big expense list with no site split.

People

  1. Who counts as a paid user, and are labour and subcontractor logins free? A good answer: only office and site roles count; labour, staff and subcontractors log in free and unlimited. A bad answer: every login is a paid seat, which makes subcontractor use impossible.
  2. Is there a client view, and what are the commercial terms? A good answer: a read-only client update view, prices in your currency, one price per company rather than per user, a free trial without a card, and data export on request. Ask also whether support answers in your working hours. A bad answer: per-user pricing, no trial, and your data stays locked in.

Trackovo is a construction and interior site-management app built in India, listed on the UAE Play Store and App Store, and available on web. It covers material requests, approvals, orders, receipts and stock; labour attendance with photo and site location; labour wages and contractor settlement; site-wise payments and expenses; vendors; tasks and daily progress; a measurement book; machines and tools; and client updates. So against the 12 questions: subcontractor scope and settlement, measurement book, running bills and advances, photo and GPS attendance, GRN with photo proof, daily progress and DPR, tasks for snags, expenses per site, vendor records and a client view are all in the app. Every module is in every plan. It also handles GST and TDS for Indian companies and has a Tally export (not a live Tally integration).

For UAE use specifically: invoices have configurable tax rows, so a VAT 5 percent row works, and party records hold a TRN. Invoice currency can be set to AED. Now the limits, stated plainly. Outside the invoice screens, the app currently shows amounts with the rupee symbol and Indian-style number grouping, so do not expect AED display everywhere yet. There is no Arabic interface, no offline mode, and no WPS file – the Wages Protection System is the UAE’s electronic salary-transfer system, and no site app files WPS for you, so salary transfer still runs through your bank as it does today. Pricing for UAE companies is confirmed on the demo call: one price per company, with labour and subcontractor logins free.

Indian pricing for reference: Starter Rs 1,799 per month or Rs 17,999 per year for 3 core users and 5 active projects, Growth Rs 2,999 per month or Rs 29,999 per year for 6 core users and 12 projects, Scale Rs 5,399 per month or Rs 53,999 per year for 12 core users and 30 projects. These are launch-offer prices valid till 31 March 2027, with 18 percent GST extra in India. A 14-day free trial needs no card. Read more on plans or start at the free trial page. A two-week trial plan on one live site

Do not pilot on your biggest project. Pick one live site, ideally with one subcontractor crew, and run a clean test.

  • Days 1 to 2 – set up. Create the project, add the site engineer and mistri logins, add the subcontractor and top vendors with TRNs, and load opening stock. The team helps import data from Excel.
  • Days 3 to 5 – attendance and materials. Run daily hajiri with photo and location. Start every material request in the app, and record each delivery as a GRN with photo. Compare against the paper register you still keep in parallel.
  • Days 6 to 8 – measurement and money. Record measurement entries in the measurement book, raise one subcontractor running bill with advance recovery, and log all site expenses including petty cash.
  • Days 9 to 10 – reporting and client. Generate the daily progress report and share a client update. Check the expense and payment reports against your accounts.
  • Days 11 to 14 – decide. Ask three questions: did the site team actually use it, did it reduce re-typing, and can you export your data if you stop? Ask the vendor for a data export before you pay, not after.

If the answer to all three is yes, expand to your other sites. If not, you have spent two weeks, not a year’s subscription.

Common questions

Is construction management software worth it for a small UAE fit-out firm?

For a firm running three to five fit-out jobs with subcontracted labour, the pain is usually scattered photos, missing measurement records and month-end bill confusion. If the software fixes those three things at a monthly cost lower than a few hours of an engineer’s time spent hunting files, it pays for itself. If your jobs are one-room repairs handled end to end by one team you trust fully, paper and WhatsApp may still be enough.

Does Trackovo handle WPS salary transfers for UAE labour?

No. The Wages Protection System is the UAE’s electronic salary-transfer system handled through your bank, and no site app files WPS for you. Trackovo records attendance with photo and site location, and helps calculate wages and settlement, which you then pay through your normal WPS channel. Treat any app that claims to “do WPS” with caution and check with your bank.

Can I run Trackovo fully in AED and Arabic?

Partly, and you should know exactly where the line is. Invoice currency can be set to AED, invoices support a 5 percent VAT row, and party records hold a TRN. But outside the invoice screens the app currently shows amounts with the rupee symbol and Indian number grouping, and there is no Arabic interface. If your site staff need Arabic screens, this is not the right fit today.

How do I compare Trackovo fairly against other apps used by Indian and UAE contractors?

Make a shortlist of two or three construction management apps used by contractors in the region, then run all of them through the same 12 questions above, on the same site, in the same two weeks if possible. Ask each vendor for a written quote with currency, per-user or per-company terms, what a trial includes, and whether your data can be exported. Check each competitor’s own website for current prices and features rather than relying on comparisons made by any one vendor, including ours. You may also find our wider comparisons useful, such as our guide to the best construction management software for Indian contractors in 2026 or our look at site management software for construction, since many UAE projects are run by teams with India-based offices.
