Sample dataThe Three Kinds Of DPRs That Don’t Work
Paper, WhatsApp, and Excel — all three die in the gap between site and decision.
Paper DPRs
Stale by the time they reach the office. Hard to search. They live in a cupboard until there is a dispute.
WhatsApp DPRs
A one-line message about labour and slab work has no structure and no history, and it is gone after a week of scrolling.
Excel DPRs
“Latest DPR.xlsx” in someone’s inbox, three versions floating around, formulas typed over.
Decisions delayed
When the week’s reports reach the owner on Sunday, Monday’s problem is already old.
DPR As Data, Not A Document
Trackovo records the daily progress report as structured data instead of a file. The site engineer or supervisor fills it on the phone; the owner and office see every site in the web app without calling anyone in the evening.
- ✓Daily progress recorded on Android, iPhone or the web
- ✓Photos attached as proof of the work done
- ✓Labour attendance with photo and site location in the same app
- ✓Every site’s progress visible to the owner in one place

Book DemoDPR means daily progress report here, not the bank-loan DPR
In construction, DPR stands for daily progress report: the record a site makes at the end of every working day of who was present, what work was done, what material came in and was used, what went wrong and what is planned for tomorrow. DPR software is the app that replaces the paper register, the Excel file or the WhatsApp message in which that report is usually written.
The same three letters are also used for a detailed project report, the document a chartered accountant prepares for a bank loan or a government scheme. That is a different thing, made once, before a project starts. This page is about the daily report made on site. If you need the loan document, this page will not help you.
| Daily progress report | Detailed project report | |
|---|---|---|
| When | Every working day, at the end of the day | Once, before approval or funding |
| Made by | Site engineer or supervisor | Consultant, CA or project owner |
| Contains | Manpower, work done, material, issues, photos, tomorrow’s plan | Scope, estimates, feasibility, schedule, finance |
| Read by | Project manager, owner, client | Bank, government department, investor |
A longer explanation is in what is DPR in construction.
Who this page is for
- Builders and contractors running one or many sites who get the day’s report late, in different formats, or not at all.
- Interior and fit-out firms whose clients ask for daily photos and progress.
- Site engineers and supervisors who write the DPR today in Excel or WhatsApp and want it to take less time.
- Project managers and owners who want planned-versus-actual for every site in one place.
If you only want a paper or Excel format, download the free file at the top of this page. If you want the report filed from the phone with photos, read on.
What a DPR must contain, and where it comes from in Trackovo
Nine sections cover almost every Indian building, infrastructure and interior site. The right-hand column shows which Trackovo record supplies each one, so the site team enters each fact once.
| Section | What to record | Who fills it | In Trackovo it comes from |
|---|---|---|---|
| 1. Project and date | Site, date, day count against the planned duration | Site engineer | The project and the date of the daily plan |
| 2. Manpower | Planned against present, by trade or contractor; reasons for shortfall | Supervisor | Labour attendance marked with a selfie and site location; the project view shows planned against actual people |
| 3. Work done today | Activity, location (floor, grid, room), quantity today and cumulative | Site engineer | Progress updates on each subtask: percent or units done, with a note |
| 4. Material received and consumed | Item, quantity, challan number, where it was used | Store or site engineer | Material requests, orders, deliveries and site stock in the material module |
| 5. Progress against plan | Planned and actual, with the reason for any gap | Site engineer or PM | The daily plan compared with the progress logged against it |
| 6. Issues and blockers | What is stuck, since when, who owns it, by when | Site engineer | Issues raised on the project with a photo and a status |
| 7. Plan for tomorrow | Activities, labour, material and machines needed | Site engineer or PM | Tomorrow’s daily plan |
| 8. Photos | One caption per photo, same day | Anyone on site | Progress photos with a caption and time stamp, grouped by who uploaded them |
| 9. Sign-off | Who submitted, who acknowledged | Site engineer, then PM or owner | Each progress entry moves from pending to verified to confirmed |
How a DPR works in Trackovo, step by step
- Morning: the daily plan. The project manager or site engineer makes a plan for the site and the date: which labour and contractors come, how many people each contractor brings, chowk (daily-hire) labour by trade, which subtasks and issues will be worked on, and the material, machines and hand tools needed. A plan can be made for one day or a date range, up to about six months ahead. Material on the plan becomes a draft material request, so the purchase side sees it without a second entry. If a worker is booked on two sites for the same day, the planners get an assignment-conflict alert.
- Attendance with proof. Labour punch in on the phone with a selfie and the site location. A punch made far from the site is flagged. The project screen shows planned against present, so section 2 of the DPR is already filled.
- Work done, with photos. The site engineer, supervisor or the labour themselves update progress on each subtask: percent done, units done out of the total, or a milestone, plus a short note. Site staff must attach at least one photo with every update, and a closure photo when a subtask reaches 100%. Problems are raised as issues with a photo, so they do not disappear into a chat.
- Review. The Daily Progress screen lists every update of the day with the old and new percentage, the first photo, the note, the time and who submitted it. Entries move from pending to verified to confirmed by the roles your company allows. Opening the plan shows plan efficiency (how far the planned subtasks moved) and any unplanned work that was done.
- Evening: the Daily Report. The admin’s Daily Report for any date brings together attendance, expenses, tasks done and overdue, issues, material requests and plans made against plans required, plus a “needs attention” list: plans not submitted, absent workers, people not marked, stalled issues. Project managers, purchase managers, site engineers and labour each get their own version. The admin can send today’s summary as a WhatsApp text to the roles they choose.
- The client sees it too. A client added to the project sees overall progress, today’s task updates and issues, the number of workers on site, approved photos, approved variations and recent payments. You decide which photos the client can see.
What Trackovo’s DPR does not do, so you are not surprised: it does not export the daily report as a PDF or Excel file today (if a client insists on a document, use the free format above); it has no weather field; it does not write the report for you. Daily plans are kept for 14 days, while progress updates, photos and issues stay on the task.

A filled DPR example
This is what one day looks like in the free DPR format above, filled for a sample residential site. The names and quantities are made up to show how each section is used; they are not from a real site.
1. Project details
| Field | Entry |
|---|---|
| Project / site | Sample residential site, Tower B |
| Date and weather | 27 Oct 2026, clear |
| Project start / planned duration | 1 Jul 2026 / 480 days |
| Day count (automatic) | Day 119 of 480 |
2. Manpower
| Trade | Planned | Present | Shortfall | Shortfall % | Reason |
|---|---|---|---|---|---|
| Mason | 10 | 7 | 3 | 30% | Two on leave, one shifted to Tower A |
| Bar bender | 6 | 6 | 0 | 0% | |
| Shuttering carpenter | 8 | 7 | 1 | 12.5% | |
| Helper | 20 | 18 | 2 | 10% | |
| Total | 44 | 38 | 6 | 13.6% |
The sheet turns any trade with a shortfall above 15% red, so the reason column cannot be skipped.
3. Work done today
| Activity (floor / grid) | Unit | Qty today | Cumulative | Remarks |
|---|---|---|---|---|
| Slab shuttering, 3rd floor, grid A-D | sqm | 120 | 340 | |
| Column casting, 3rd floor | cum | 6 | 18 | Cube samples taken |
4. Material received and consumed
| Received | Qty | Challan no. | Consumed | Used where |
|---|---|---|---|---|
| Cement OPC 53 | 100 bag | CH-0457 | 45 bag | Column casting, 3rd floor |
| Binding wire | 25 kg | CH-0458 | 10 kg | Slab reinforcement |
5 to 9. Progress, issues, tomorrow, photos, sign-off
| Section | Entry |
|---|---|
| Progress against plan | Planned 38%, actual 35%, variance -3%. Slab cycle two days behind; extra carpenters from Monday. |
| Issue | Shuttering plates short for grid E-F. Raised 22 Oct, open 5 days, high, owner: purchase, fix by 29 Oct. |
| Plan for tomorrow | Slab reinforcement, 3rd floor: 2.5 MT, bar benders, 25 kg binding wire needed. |
| Photos | Six photos with one-line captions: shuttering grid A-D, column casting, cube samples, cement unloading, plates shortage, site overview. |
| Sign-off | Site engineer and supervisor sign, submitted 6:40 PM; PM acknowledges the same evening. |
Fill the same nine sections on paper, in Excel or in an app: what matters is that it is done on the same day, by the person who was on site. More formats: free construction Excel templates, including the labour attendance sheet and the material stock register. A step-by-step guide to each section is in DPR format for construction sites.
In short: Trackovo DPR software replaces the paper, Excel or WhatsApp daily progress report. The site team makes a daily plan (labour, contractors, subtasks, material and machines), marks labour attendance with a selfie and site location, and logs progress on each subtask with a photo and a note; the owner opens one Daily Report for all sites and the client sees approved photos and progress. Every module is in every plan, labour logins are free, and a free nine-section DPR format in Excel is on this page.
Frequently asked questions
What is the full form of DPR in construction?
DPR stands for daily progress report: the end-of-day record of a construction site covering manpower present, work done, material received and consumed, issues, photos and the plan for tomorrow. The same letters are also used for a detailed project report, which is the one-time document prepared for a bank loan or government approval; this page is about the daily report.
What is the purpose of a DPR?
A DPR tells the project manager, owner and client what actually happened on site today against what was planned, on the same day. It is the evidence for labour and contractor bills, for material reconciliation, and for delay and payment disputes, and it makes tomorrow's plan a decision instead of a guess.
Is a daily progress report the same as a detailed project report?
No. A daily progress report is made every working day by the site engineer and read by the PM, owner and client. A detailed project report is made once, before a project is approved or funded, usually by a consultant or CA for a bank or a government department. DPR software such as Trackovo is for the daily report.
What should a DPR format include?
Nine sections cover most sites: project details and date, manpower planned against present, work done today with quantities, material received and consumed, progress against plan, issues and blockers, the plan for tomorrow, photos with captions, and sign-off. The free Excel format on this page has all nine, and a filled example is shown further down.
Who prepares the DPR on site, and when?
The site engineer or supervisor who was on site that day, before leaving site. A DPR filled the next morning is a guess. The project manager or owner should acknowledge it the same evening, so an issue raised today gets an owner today.
How does Trackovo record the DPR?
In three parts that the team already does: a daily plan for each site (labour, contractors, chowk labour, subtasks, material, machines), labour attendance with a selfie and site location, and progress updates on each subtask with a percent or units done, a note and a photo. Issues are raised with a photo. The admin's Daily Report then shows attendance, expenses, tasks done and overdue, issues, material requests and plans submitted for any date, with a needs-attention list.
Can the client or the team get the DPR on WhatsApp?
A client added to the project sees progress, approved photos, issues, the number of workers on site and recent payments in the app. The admin can send today's Daily Report summary as a WhatsApp text to the roles they choose. Trackovo does not export the daily report as a PDF or Excel file today; if a client insists on a document, use the free Excel format on this page.
Is there a free DPR format?
Yes. A nine-section DPR format in Excel can be downloaded from the top of this page without signing up, and a filled example is shown further down the page.
How much does Trackovo cost?
Trackovo publishes its prices, currently with a 70% launch offer: Starter is ₹1,799 per month or ₹17,999 per year for 3 core users and 5 active projects; Growth is ₹2,999 per month or ₹29,999 per year for 6 core users and 12 projects; Scale is for larger builders. 18% GST is extra. Every module is included in every plan, only the limits differ; labour, contractors and staff log in free and unlimited on every plan, and every new workspace starts with a 14-day free trial that needs no card.
