Labour Advance Register: Tracking Advances Given to Workers and Contractors

Labour Advance Register: Tracking Advances Given to Workers and Contractors

A labour advance looks small when it is paid. A worker asks for Rs 1,000 for a family need. A mistri takes Rs 5,000 to arrange labour. A contractor asks for kharchi before the weekly payment. The munshi pays in cash or by UPI and plans to write it down later.

Labour contractor giving an advance to a worker while the supervisor records it

The problem appears at settlement time. The worker may remember a different amount. The contractor may say that one payment was for material or transport, not an advance. If the entry has no date, purpose or recovery details, the office cannot verify the balance. A labour advance register prevents this confusion. It creates one clear record of every amount paid and recovered.

Why advances or kharchi are given

Construction labour often needs money before the regular wage date. Workers may require kharchi for food, travel, medicine or expenses at home. A new labour gang may need an initial amount to reach the site. A labour contractor may require money to arrange transport or make a part-payment to workers.

These payments are normal on many Indian sites. The issue is not the advance itself. The issue is an advance without a proper record. A verbal entry remembered by the munshi is difficult to confirm after several weeks.

Before giving money, classify the payment correctly. It may be an advance recoverable from wages, a reimbursable site expense, or a payment against completed work. These are not the same. For example, Rs 2,000 given to a worker for personal use may be recovered from wages. Rs 2,000 given to purchase diesel against a challan may be site kharcha. A payment against measured work may form part of a contractor settlement.

Write the classification when the money is given. Do not wait until payroll or settlement day.

Labour advance register format

A notebook can work for a small site. An Excel sheet is useful when the office wants totals and filters. An app is more suitable when several people give advances across multiple sites. Whatever method you choose, keep the same minimum fields.

DateWorker or contractorAmountModePurposeGiven byRecovered onBalance
05-10-2026Ramesh Kumar, masonRs 2,000UPIPersonal kharchiSite engineer12-10-2026Rs 1,000
07-10-2026Shakti Labour ContractorRs 10,000CashAdvance against labour billProject managerNot yet recoveredRs 10,000

Add a worker ID, phone number, trade and site name if similar names appear in your records. For a labour contractor, mention the contractor name and the relevant work package. “Ramesh” or “tile labour” alone is not enough.

The mode should say cash, UPI or bank transfer. For UPI and bank payments, keep the transaction reference. For cash, take a signature or thumb impression where practical. The purpose should be specific. Write “personal kharchi recoverable from wages” instead of only “advance.”

The balance is important. It should show the amount still recoverable after each deduction. Do not overwrite the original advance. Record every recovery as a separate entry so that the history remains clear.

Recovery should follow an agreed schedule. If a worker earns Rs 4,500 in a week and has an advance balance of Rs 3,000, deducting the full amount may leave too little money for daily needs. Discuss whether the recovery will happen in one payment or in smaller instalments.

A simple wage calculation can follow this order:

  1. Confirm attendance and payable days.
  2. Calculate gross wages using the agreed rate.
  3. Add approved overtime or other payable work.
  4. List the advance recovery separately.
  5. Show any other authorised deductions separately.
  6. Calculate the net amount paid.
  7. Update the remaining advance balance.

For example, gross weekly wages may be Rs 5,400. If Rs 1,000 is recovered against an earlier advance, the settlement should show gross wages of Rs 5,400, advance recovery of Rs 1,000 and net payment of Rs 4,400. The advance register should then reduce the outstanding balance by Rs 1,000.

Do not show only the final net payment. A worker who receives Rs 4,400 without a calculation may feel that Rs 1,000 is missing. A visible deduction line makes the settlement easier to understand.

Contractor advances need similar treatment. Link the advance to the contractor’s bill, measured work or agreed milestone. At settlement, show the gross payable amount, earlier advances, any approved recoveries and the final balance. The original advance should not be treated as an extra expense if it is later adjusted against the same bill.

You can use a labour cost calculator for basic cost planning, but actual recovery still needs worker-wise or contractor-wise records.

Rules that prevent disputes

Set simple rules that the munshi, site engineer, accounts team and contractors can follow.

  • Record the payment immediately. An entry made after three days may have the wrong amount, date or purpose.
  • Use a unique identity. Record the worker’s full name, phone number, ID or labour code. Do not depend on nicknames.
  • State whether it is recoverable. Some emergency support may be treated differently by management. The entry should make this clear.
  • Keep proof. Save the UPI reference, bank reference, signed voucher or cash acknowledgement.
  • Set approval limits. Decide how much the munshi or site engineer can give without office approval.
  • Share the balance. Tell the worker or contractor the outstanding amount before the wage or bill settlement.
  • Never mix sites. If a contractor works at two sites, record each site’s advances separately.
  • Close old balances. Review outstanding advances every week. Investigate balances linked to workers who have left the site.

An Excel sheet does this work well when one person maintains it carefully. It is familiar, flexible and easy to print. However, copied sheets can create duplicate versions. Entries may also remain on the site phone until the office asks for them. A bound register avoids file-version problems, but totals and old searches take more effort. If you want the attendance side ready-made, the free labour attendance sheet format in Excel already has an advance column next to each worker’s wages.

Advances and settlements in Trackovo

Trackovo keeps labour wages and contractor settlements with other site records in one app on Android, iPhone and web. Its labour management workflow can help the team connect attendance, wage calculations and settlement records. Labour attendance can include a photo and site location.

Site-wise payments and expenses can also be recorded, which helps separate labour advances from general site kharcha. This matters when an amount paid by the site engineer could otherwise be entered in two places or placed under the wrong project.

Trackovo also covers material requests, approvals, orders, receipts and stock, along with vendors, tasks, daily progress, measurement book, machines, tools and client updates. Every module is included in every listed plan. Labour, contractors and staff can log in free and without a stated limit; office and site roles count as core users.

A register or Excel sheet may still be the right choice for a small team with one site and one person handling all payments. Trackovo becomes more relevant when attendance, advances, wages and contractor settlements move between the site and office. The team helps import data from Excel and exports your data on request. You can review the workflow through the 14-day free trial, which does not require a card.

Common questions

What is a labour advance register?

It is a worker-wise or contractor-wise record of money paid before the normal wage or bill settlement. It shows the original advance, each recovery and the remaining balance.

Is kharchi the same as a labour advance?

Kharchi often means money given for immediate needs, but its accounting treatment depends on the purpose. Personal kharchi may be recoverable from wages. Money used for an approved site purchase may instead be a site expense supported by a bill or challan.

Should an advance be deducted in one settlement?

Not always. Agree on the recovery schedule before payment. Consider the wage amount, the advance balance and any company policy. Show every deduction clearly in the wage statement.

Can Excel be used for a labour advance register?

Yes. Excel works well for a small operation if one current file is maintained and entries are updated promptly. Use an app when several sites or authorised people make payments and the office needs a common, current record.
