Interior Project Management App: What an Indian Interior Firm Should Look For

Picture a typical week for a small interior firm in India. You are running eight sites at once. A flat in Pune, two in Mumbai, a villa on the outskirts, a office fit-out, and a few more. Each site has its own WhatsApp group. Material photos, attendance doubts, payment queries, client questions – all mixed in the same chat, scrolling away within hours. The carpenter sends a photo of a broken panel at 9 pm. The client asks for an update in a different group. Somewhere in a notebook, your munshi is writing hajiri by hand, and nobody is sure what material has actually reached site versus what was only ordered.

This is not a discipline problem. It is a tooling problem. Running interior projects on WhatsApp groups, Excel sheets and paper registers works until it does not. This article explains how interior projects are different from civil sites, what an interior firm should actually look for in a project management app, and where Trackovo fits – honestly, including where it does not.
How interior projects differ from civil sites
At first look, an interior fit-out looks like a small construction project. It is not, and the differences matter when you pick an app.
First, timelines are short and tight. A civil project may run two years. An interior flat may run 45 to 90 days. There is no room for slow reporting. If material is delayed by three days, the whole schedule slips.
Second, the client is close. In a civil project, the client sees the site once a month. In interiors, the client walks in every week, asks questions every day, and expects photos. Client updates are not a formality – they are part of the service.
Third, work is multi-vendor. One site may have a carpentry contractor, a painter, a false ceiling team, electrician, and modular kitchen supplier – each with their own labour, their own material, and their own payment terms. Settlement mistakes happen easily.
Fourth, material is small but high value. You are not ordering hundreds of bags of cement every week. You are ordering laminate sheets, hardware, wallpaper, lights, MDF boards – many small orders, many vendors, frequent returns and exchanges. A challan-based register is essential.
Fifth, multiple sites run in parallel with one small team. You may have one supervisor handling four flats in the same building. Site kharcha gets mixed up between flats, and at the end you cannot tell which project actually made money.
Eight things an interior firm needs from an app
1. Site-wise material tracking, not just purchase records
You need to know what was requested, who approved it, which vendor it went to, and what actually reached site with a receipt or challan. Without this, you discover missing items during handover. A good app connects the request, the approval, the order and the receipt in one flow. Trackovo’s material management module follows exactly this chain, and it also keeps a running stock picture per site.
2. Labour attendance with proof
Interior labour moves between sites. The same carpenter crew works flat 402 on Monday and flat 506 on Tuesday. A plain register cannot tell you which site to charge the wages to. Look for photo and site location with each attendance entry, so you can verify the person was actually present at that flat. Our labour attendance sheet format in Excel article shows what most firms use today, and where sheets fall short.
3. Wage calculation and contractor settlement
Attendance is only half the job. The app should convert hajiri into wages, handle per-day or per-sq-ft contractor rates, and give you a clear settlement statement you can show the contractor. Arguments about payment reduce a lot when the record is visible to both sides. You can read more about this approach in our attendance and salary guide.
4. Site-wise expenses and payments
Every rupee should sit against a project: material payments, labour payments, petty site kharcha, machine hire. At month end you should be able to see cost per site without an accountant’s help. Trackovo handles this through its finance management features, with payments and expenses recorded site by site.
5. Daily progress updates with photos
Clients in interiors expect visual progress. The app should let your site engineer log daily work with photos, so you can forward a proper update to the client instead of a rushed WhatsApp forward. If you currently send manual reports, our piece on DPR software explains why daily reports matter and how to make them consistent.
6. Task lists per site and per room
Interior work has hundreds of small tasks: POP detailing, wardrobe shutter fixing, laminate selection approval, hardware fitting, snag listing. The app should let you assign tasks to people, set dates, and see what is pending – per site or per room. A shared task list removes the need to remind everyone on call.
7. Measurement book
False ceiling area, panelling length, painting sq-ft – interior billing often depends on measurements. A digital measurement book inside the app keeps these entries dated and attributable, so the contractor’s numbers and yours can be compared without a fight.
8. Simple reports you can read on your phone
You are between sites most of the day. The app should give you a clear view on a phone: attendance today, material pending, expenses this month, tasks overdue. If you only get reports after an accountant or office person prepares them, the information arrives too late to act on.
What you do not need
Stop juggling WhatsApp groups, Excel sheets, and paper registers
Trackovo runs every part of your construction site in one app — materials, attendance, finance, vendor payments. 14-day free trial. No card needed.
Start your free trial →Many apps sell large feature lists. For a small interior firm, some of it is dead weight.
- Heavy ERP-style accounting. You likely have a CA or use Tally or an accountant already. The site app needs to record expenses and payments properly, not replace your books.
- Biometric machines. Interior sites shift every two months. Installing hardware per site is not practical. Photo-based attendance from a phone is usually enough.
- 3D design tools inside the management app. Design belongs in your design software. Forcing design and site management into one tool usually means both are weak.
- Complex approval chains. If the firm has two or three decision makers, you need simple one-step approvals, not corporate workflows.
One honest note: Excel is not useless. It is free, flexible, and everyone knows it. Our construction Excel templates page gives away formats you can use today. The problem with sheets is not the format – it is that the data entry happens days late, in one person’s head, and never combines attendance, material and money in one place. An app wins when it captures data at site, same day.
Where Trackovo fits an interior firm
Trackovo is a construction and interior site-management app built in India, available on Android, iPhone and web. It covers the eight needs listed above with one app: material requests, approvals, orders, receipts and stock; labour attendance with photo and site location; wages and contractor settlement; site-wise payments and expenses; vendors; tasks and daily progress; measurement book; machines and tools; and client updates.
For an interior firm, the practical benefit is this: instead of eight WhatsApp groups and eight notebooks, each site has one record. The supervisor marks labour attendance from the site with a photo and location. Material requests come to you for approval before ordering, so the site cannot silently order extra laminate. Payments and kharcha sit against the project, so at month end you know which flat is running over budget. Daily progress with photos becomes your client update.
Pricing is listed openly on the plans page: Starter at Rs 1,799 per month or Rs 17,999 per year for 3 core users and 5 active projects, Growth at Rs 2,999 per month or Rs 29,999 per year for 6 core users and 12 projects, and Scale at Rs 5,399 per month or Rs 53,999 per year for 12 core users and 30 projects (launch-offer prices till 31 March 2027). Labour and contractors log in free. 18% GST is extra. Every module is included in every plan – you are not paying separately for attendance or material. There is a 14-day free trial with no card needed.

Where it may not fit
No app fits everyone, so here is the honest list.
Trackovo does not have a construction CRM. If your main pain is managing leads – enquiries from Houzz or Instagram, follow-ups, quotations to prospects – Trackovo will not solve that. You would need a separate lead-management tool, or run Trackovo only after a project is confirmed.
Trackovo is not a design tool. It has no 3D, no renders, no drawing tools. You will still use your design software for concepts and working drawings. Trackovo starts where design ends: execution.
Trackovo has no live Tally integration, but it does have a Tally export. Your accountant gets an export to bring into Tally, but entries do not flow into Tally automatically. You can export or share records, but expect some manual transfer to your books.
Also, Trackovo does not use biometric hardware or face recognition. Attendance is photo and location based from the phone. For most interior sites this is fine, but if your company policy requires biometric machines, Trackovo is not the right fit.
Common questions
Is a project management app useful for a 2-person interior firm?
Yes, if you run more than two sites at a time or handle labour contractors. The pain at small scale is usually scattered records – attendance in one notebook, material in another, payments in a bank app. An app brings them together per project, which saves arguments and month-end work. If you run one site with your own fixed team and no material confusion, paper and Excel may still be enough. Start with the free trial and see whether the daily records actually improve.
Can I keep using WhatsApp with the site team?
Yes, and you should. Workers and mistri are on WhatsApp and will stay there. The app is not a replacement for conversations. Use WhatsApp for quick questions and coordination. Use the app for the records that must not get lost: attendance, material requests and receipts, payments, measurements, and daily progress photos. When a dispute comes up six weeks later, the WhatsApp group will not help you – the app record will.
How do I move eight sites from paper to an app without stopping work?
Move one site first, not all eight. Pick your most active site and run it fully on the app for two weeks. Get the supervisor into the habit of marking attendance and daily progress same day. Add material requests next, then payments. Once the flow works on one site, copy it to the rest. Trying to switch everything on a Monday morning across eight sites is the most common reason these shifts fail.
