DPR App for Construction Sites: What a Daily Progress Report App Should Do
It is 7:30 PM. The site engineer is still at site, typing a WhatsApp message to the boss. “Sir, today concrete done in 2nd floor slab, 12 workers present, cement 40 bags received from Sharma Traders, brick work going on in B wing.” Two photos attached, both dark. By the time the boss reads it, he is already confused about one thing: was the concrete in the B wing slab or A wing? He scrolls up through three weeks of messages to check. Somewhere in that scroll, the daily record of the project lives and dies.
This is how most sites in India run their DPR today. It works, sort of. But it eats time, and when someone needs to check what happened on the 14th of last month, or what material came in that week, the search takes an hour. A proper DPR app fixes this. This article explains what a daily progress report app should do, how it differs from an Excel DPR, and how to decide between them.
What a DPR app is, and how it differs from a DPR in Excel
A DPR app is a simple tool that runs on a phone or laptop. Every day, the site engineer opens it and fills in what happened: work done, labour present, material received, machinery used, site kharcha, delays, and photos. The app stores each day as a separate dated entry, linked to the project. The owner or project manager can open the same report from their side without asking anyone.
An Excel DPR does the same job on paper or spreadsheet. You fill a sheet, and at the end of the day you send it by email or WhatsApp. For a single small project, this is fine. Many contractors run like this for years.
The differences show up as work grows:
- Photos and location: In an app, photos get attached to the day’s entry directly. In Excel, photos travel as separate files and get separated from the report.
- Who filled it and when: An app records the time and person. An Excel sheet can be edited later, and nobody knows.
- Search: In an app, you filter by date, project or activity. In Excel, you open many files and search by hand.
- Multiple sites: With three or more sites, one person has to collect Excel files from every site daily. An app brings all sites into one place.
- Combining with other records: An app DPR can pull attendance and material entries from the same system. With Excel, the DPR, the hajiri register and the material register are three separate files that often do not match.
Excel is a blank page. An app is a fixed daily format that everyone follows.
Eight things a DPR app must do
1. Quick daily entry
The engineer should be able to finish the DPR in five to ten minutes, standing at site. If the form has forty fields, people stop filling it honestly. Short fields, tick options for common activities, and saved notes are what matter.
2. Photos attached to the day
A DPR without photos is only words. The app should let the engineer attach photos to the day’s entry, and these photos should stay with the report permanently, not float in the gallery or in a WhatsApp group.
3. Labour and material in the same report
The owner usually wants three numbers with the progress: how many workers came, what material came in, and what was spent. If the app pulls the hajiri and material receipts into the DPR automatically, the report becomes complete without extra typing.
4. Project-wise separation
If you run more than one site, the app must keep each project’s DPR separate and also let you see all projects together. The owner’s view should answer “what happened everywhere today” in one screen.
5. Delay and hindrance records
Every site has days when work stopped: rain, material not arrived, client stopped payment, labour shortage. Writing the reason on that day’s DPR protects you later during settlement or claim discussions. A good DPR app has a field for this, not just a progress tick.
6. History you can search
After three months, someone will ask: when did we cast the first slab? When did the tiles for the 3rd floor arrive? The app should let you go to any past date in seconds. This is where WhatsApp DPRs fail completely.
7. Sharing with client or senior
The report should be shareable as a clean summary, so you can send the client a daily or weekly update without making a separate document. Interior firms especially benefit here, because clients ask for updates daily.
8. Simple enough for the site engineer to accept
This is the real test. The engineer is tired at 7 PM. If the app is complicated, he will fill it once and stop. Choose an app your munshi or engineer can learn in a day. Test it for two weeks on one site before rolling it out everywhere.
DPR tracker: following progress against plan day by day
Stop juggling WhatsApp groups, Excel sheets, and paper registers
Trackovo runs every part of your construction site in one app — materials, attendance, finance, vendor payments. 14-day free trial. No card needed.
Start your free trial →A DPR tracker is the next step beyond recording the day. It compares daily progress against the plan. If slab casting was planned for the 10th and happened on the 14th, the tracker shows a four-day slip, and the reason recorded on those days explains it.
When people search for a “dpr tracker”, they usually want three things:
- Activity status: which activities are complete, running, or not started, updated daily from the DPR.
- Delay visibility: a simple view showing where the project stands against the planned schedule, without needing MS Project.
- Trend over time: not just today’s photo, but whether the site is moving faster or slower than last month.
You do not need heavy planning software for this. Daily honest entries, plus a view that stacks them against the plan, give the owner what he actually wants to know: is my project on time, and if not, why.
If you want to see how this looks inside Trackovo, our DPR software page explains the daily entry, progress tracking and reporting side by side.
Excel first or app first?
Be honest with yourself before choosing. Ask two questions.
How many projects are you running? One or two small sites, and you are comfortable with Excel? A well-made Excel DPR format will serve you fine for now. You can download a DPR format in Excel here and also look at our wider set of construction Excel templates, including formats for material and attendance registers like a labour attendance sheet or a material stock register.
Are your records breaking down? If you are searching WhatsApp for last month’s photos, if attendance and material figures never match the DPR, or if you have sites in two cities and cannot see them together, then Excel has reached its limit and an app will pay for itself in saved time.
There is no shame in either path. Start with Excel, keep your format fixed, and move to an app when the pain is real. Moving later is easy because you already have the discipline of daily entries.
How daily progress works in Trackovo
Trackovo brings the DPR into the same app that already holds your site records. So the daily progress entry does not live alone:
- The engineer fills the daily progress report with photos and notes.
- Labour attendance is captured with photo and site location in the same app, so the worker count does not have to be typed again from a separate register. You can read more on labour management and our attendance and salary handling, or see how Trackovo compares as a hajiri app for construction labour.
- Material requests, orders, receipts and stock are recorded on the material management side of the same app.
- Site expenses and payments are recorded project-wise in the finance records.
- The owner sees these together in reports and dashboards, which you can see on our reports and dashboards page.
- Client updates are part of the same app, so the interior firm owner or bungalow client does not need a separate report made for them.
Trackovo runs on Android and web. Every module, including DPR, is in every plan, so you do not have to buy a higher tier just to get daily progress reports. If you want to compare options before deciding, our guides on the best labour attendance apps and best construction management software in India cover the wider field, and we also have honest comparisons such as Trackovo vs Powerplay and Trackovo vs Onsite. Powerplay and Onsite are construction management apps used by Indian contractors; for their current prices and features, check their own websites or ask for a written quote.
You can see the full feature list, compare plans (all with a 14-day free trial and no card needed), take a guided demo, or ask for a WhatsApp demo. If you prefer to start on your own, the free trial takes a minute.
Common questions
What is a DPR in construction?
A DPR, or daily progress report, is a short record of what happened on site each day. It normally covers work completed, number and type of labour present, material received, machinery used, site expenses, weather or delays, and photos. Its purpose is simple: anyone should be able to look back at any date and know exactly what happened on that day, without depending on someone’s memory.
Is an Excel DPR format good enough?
For one or two projects, yes. A fixed Excel format filled daily is far better than WhatsApp messages. The problems start with multiple sites, photo management, and matching attendance and material figures to the DPR. If those things are costing you time every week, an app is the better tool. Many contractors start with Excel and move to an app after a year or two, which is a perfectly sensible path.
How long should it take to fill a daily progress report in an app?
Under ten minutes for a normal day. If the app pulls attendance and material entries automatically, the engineer only types the work done, any delay reasons, and attaches photos. If a DPR takes thirty minutes, engineers will start skipping days, and a DPR with gaps is worse than no DPR because it gives false confidence.
Can I see the DPR without going to site or calling the engineer?
Yes, that is the main point of a DPR app. The owner or project manager opens the app or web dashboard and sees today’s entry for every project. In Trackovo, daily progress, attendance, material and payments sit in one app. You can try this yourself during the free trial or a demo before rolling it out to your sites.
